The Embassy of the Grand Duchy of Luxembourg in Addis Ababa, Ethiopia, is seeking to hire one Accounting and Administrative Assistant (m/f) for a 40-hour work week, starting from 23 September 2024 (or another mutually agreed upon date).
Position: Accounting and Administrative Assistant
Under the direction and oversight of the Head of Mission and Deputy Head of Mission, your responsibilities will include:
- Managing the day-to-day operations of the Embassy Secretariat.
- Handling the agendas of expatriate staff and managing official correspondence and communications.
- Coordinating meetings and events with other embassies, UN agencies, and the African Union.
- Overseeing the archiving of all incoming and outgoing Embassy correspondence.
- Assisting expatriate staff with accounting operations and managing the Embassy’s finances, ensuring accuracy in calculations and data entries.
- Monitoring and ensuring the proper execution of all payment transactions and maintenance contracts related to expatriate staff residences.
- Supporting the organization of official visits and Embassy events, both within and outside the Embassy premises.
- Assisting expatriate staff with administrative procedures related to their professional duties and life in the host country (e.g., diplomatic ID, drivers’ license).
- Performing additional duties as assigned by the Head of Mission and Deputy Head of Mission.
Requirements:
- Successful completion of secondary education (or equivalent) or higher.
- Fluency in spoken and written French, English, and Amharic.
- Experience in budgeting and accounting.
- Proficiency in Microsoft Office applications (Outlook, Word, Excel).
- Excellent time management and organizational skills.
- Demonstrated flexibility, resilience, patience, and ability to handle challenging situations.
- High level of discretion and responsibility.
- At least two years of professional experience in secretarial and finance roles, preferably in an international organization or a similar position.
Additional Information:
- The employment contract, including salary, will be governed by Ethiopian labor laws.
