Position 1: Export Documentation Officer

Key Responsibilities:

  • Ensure accurate documentation for all export activities.
  • Provide required export documentation specific to each destination country.
  • Ensure compliance with export laws and regulations for consignments under various payment terms.
  • Submit timely documentation instructions to independent surveyors and freight forwarders to facilitate efficient export processing.
  • Maintain organized and up-to-date export files in a systematic cataloging system.
  • Serve as a liaison between the company and forwarders to streamline the shipping process and manage order volume.
  • Analyze and negotiate shipping costs with freight forwarders based on shipment weight and volume.
  • Advise on the most cost-effective modes of transportation to optimize expenses.
  • Monitor and communicate updates in import procedures and guidelines, assisting in the preparation of commercial documents in compliance with customs regulations.
  • Verify freight receipts against documentation and ensure accurate records with proper time, date, and signature annotations.
  • Check inbound documentation for accuracy prior to receipt and note any discrepancies such as shortages, overages, or damages.

Qualifications:

  • BA Degree in Marketing Management, Business Administration, Business Management, or related fields from a recognized university.
  • Minimum of 2 years of relevant experience in the export business.

Position 2: Coffee Stock Controller

Key Responsibilities:

  • Monitor and manage inventory levels for various types of coffee stocks.
  • Record coffee purchases, stock issues, and maintain accurate transaction records in the database.
  • Conduct regular physical inventory counts and reconcile with computer-generated reports.
  • Prepare and issue export documentation for coffee shipments.
  • Prepare and issue documentation for reject coffee designated for local markets.
  • Verify the weight of incoming coffee shipments using a scale and ensure accuracy.
  • Prepare all necessary documentation for coffee stock control.
  • Generate, process, and submit receiving documents for payment.
  • Plan, coordinate, and monitor daily operational activities.
  • Maintain accurate records of items shipped, received, or transferred to other locations.
  • Ensure that store policies and procedures are kept up-to-date.
  • Strong written and oral communication skills are essential.
  • Perform additional job-related duties as assigned.

Qualifications:

  • BA Degree in Accounting, Management, or related fields from a recognized university.
  • Minimum of 2 years of relevant work experience in a similar role.
