Position: Assistant Office Manager

Qualifications:

  • Bachelor’s degree in Business Administration or a related field is preferred.
  • No prior work experience required.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities with the capacity to multitask and prioritize effectively.
  • Proficiency in MS Office Suite and other relevant software.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • High level of integrity, confidentiality, and commitment to ethical business practices.

Key Responsibilities:

  • Manage and maintain the company calendar, schedule appointments and meetings, and ensure all relevant parties are informed.
  • Coordinate logistics for meetings, conferences, and events, both on-site and off-site.
  • Prepare and distribute meeting agendas, minutes, and other necessary materials.
  • Serve as the point of contact for the department, handling phone calls, emails, and inquiries, and redirecting them as needed.
  • Administer and maintain filing systems and databases, ensuring confidentiality and security of sensitive information.
  • Manage correspondence and communication with stakeholders including vendors, clients, banks, and other company departments.
  • Support the department and other managers with specific projects and tasks.
  • Accurately issue stakeholder letters in all formats.
  • Monitor and maintain office supply inventory, ordering new supplies as needed.
  • Assist with travel arrangements, including booking flights, hotels, and rental cars for staff.
  • Oversee daily tasks assigned to staff, providing regular updates and addressing any concerns.
  • Perform additional duties as assigned by the supervisor to ensure smooth organizational operations.

Salary: As per the company’s scale
