Position: Supply Chain Assistant – Warehouse (6 months)

Position Overview:

The Supply Chain Assistant plays a crucial role in ensuring the successful delivery of high-quality programs. IRC defines the Supply Chain as the essential techniques and support functions necessary for the effective implementation of programs, encompassing procurement, logistics, inventory management, asset management, and vehicle and fleet management.

Primary Responsibilities:

Efficient Warehouse Operations

The Supply Chain Assistant-Warehouse, reporting to the Supply Chain Warehouse Officer/Manager, is responsible for the streamlined coordination and management of warehouse functions at the IRC Adama country hub warehouse. This includes proper handling of program supplies, assets, and equipment, ensuring adherence to best practices, and maintaining accurate recording and documentation.

Ensure accurate inspection and receipt of materials in line with specified PR/buy request, Purchase Orders, and Delivery Notes.

Assist in receiving and dispatching items, adhering to IRC Warehouse operations policy and procedure.

Conduct careful counting of materials during loading and unloading.

Support during periodic inventories.

Coordinate timely loading and unloading activities.

Monitor inventory balance and report discrepancies to the Warehouse Officer.

Complete and submit delivery notices to procurement staff within one day of material inspection.

Inform relevant staff upon the arrival of their respective goods.

Accurate Record Keeping and Updating

Register all daily received goods in prolog records, stock cards, warehouse registration book, and immediately generate or update bin cards (within one day).

Inspect, receive, and record materials returned from programs.

Use the warehouse register to document daily activities.

Ensure proper filing of all warehouse recording documents.

Maintain accurate warehouse stock tender files in accordance with IRC filing protocol.

Keep the Warehouse activity book (warehouse register book) updated with all incoming and outgoing receipts of materials.

Effective Warehouse Management

Categorize and store warehouse items by Field Office and Programs.

Attach bin cards individually to each item.

Ensure timely updates of bin cards.

Shelving accuracy, proper tracking of shelf life, and maintaining neatness of all items in the warehouse.

Reporting:

Assist in preparing regular reports, including weekly and monthly reports, for the Warehouse.

Additional Responsibilities:

Ensure the security of warehouse compound doors, windows, and fences, providing updates to the supply chain manager.

Perform any other supply chain-related functions assigned by the immediate supervisor or supply chain coordinator.

Educational Requirements:

Diploma in Supply Chain Management, Management, Economics, Business Administration, or related fields, with 2 years of experience. For those with a degree, 0 years of experience.

Additional Requirements:

Proficiency in Microsoft Word and Excel.

Proficiency in both verbal and written communication in English and Amharic.

NGO experience is a plus.

Ability to thrive in a highly matrixed structure.

Analytical skills in developing effective solutions to complex problems while adhering to labor laws and internal policies.
